What are Integrated Management System (IMS) procedures?
Each P&F section has identified their workflows and processes and documented them. These are the procedures which are documented in individual "Workbooks". Where applicable, procedures have identified quality, safety & environmental impact points - therefore integrated.
Who has access to the Workbooks?
Only P&F staff members can view the P&F Workbooks. All P&F staff members have full access to view and print any P&F section procedures. For example, there are generic divisional procedures (eg. administrative, computer, financial, human resource and quality procedures) which are located in the "Administration Workbook". There are also generic divisional procedures in the "Safety Workbook".
How do I view a Workbook?
Simply select the Workbook that you wish to view from the procedures webpage and a table of contents will appear with links to the relevant procedures.
All procedures are available for viewing, and printing, as 'pdf' files. If you have difficulty viewing the pdf files, please contact the Information Technology Officer via email at 'ito' or call on ext. 57590.
How do I find a particular procedure if I don't know in which Workbook it is located?
The P&F Site Search tool has been improved so that it is possible search only the procedures for a particular key word or topic. The results will list all the procedures that contain that key word. To do this:
» select the P&F 'Site Search' menu - available on the search bar at the top of all P&F web pages;
» select 'Quality Management' under the 'Search' drop down box;
» type the key word/topic you wish to search, in the 'For documents containing' box;
» press the red 'Search' button;
» the results will appear as a list in the right-hand frame - with a document title and detailed file information;
» click on any of the search titles (highlighted in blue) to open that file;
» once the file is opened you can then select 'Edit, Find' to find all instances of the key word contained within that document, if you wish.
Can I print the procedures off the web?
All procedures are classed as 'controlled documents'. The most current version will always be the one posted on this website. A printed copy of the procedure is classed as 'uncontrolled'. Therefore, if you wish to keep a printed copy of any procedure, it is your responsibility to check the currency from the website.
How do I know when a procedure is updated, added or deleted?
1. The Quality Officer or the Quality & Web Administrator will email staff with a list of procedure updates as they occur; and
2. The What's New and Amended" section lists all the current updates.
How do I know where the change has occured in a procedure?
Changes in the IMS Workbooks are marked with a vertical line down the left hand column of the page - for ease of identifying the most recent change.
How do I submit a change to update a procedure or create or delete a procedure?
If a procedure needs to be updated or needs to be deleted from the Workbooks, a staff member can print the procedure and mark the proposed changes on the copy and submit it to the Quality Officer or the Quality & Web Administrator. If a new procedure needs to be created, the staff member should draft a procedure using the template available in Microsoft Word, File, New, @Draft_QA_Procedure or @Draft_QA_FlowChart. They should then submit the request to their supervisor for approval. Once approved the supervisor should then submit it to the Quality Officer for action.
