What do I need to know about holding an event or function on campus?

Security are responsible for monitoring and event control on campus and for providing approvals of Liquor Application.

  • Event managers and promoters must make contact with Security a minimum of six (6) weeks prior to the event to begin the planning process.

Major functions:
    • Major functions (e.g. Ride to Conquer Cancer, The International Fair, Orientation Week Market Day) require more preparation and planning time than the six weeks. The following information will be required:
      • Direct contact number for the Convenor;
      • Event details:
      • All Liquor, Site and other forms for approval by the University
      • A meeting time with the Security Section to discuss the operations of the event.
Minor functions:
    • Minor functions are staff & student gatherings/celebrations/BBQs and wedding ceremonies on campus.
    • For student clubs or societies: require permission through Clubs & Societies Union who place the booking with Security.
    • For individual students, staff or public: require email permission from Security at seo@pf.uq.edu.au
      • The following information will be required:
        • Direct contact number for the Convenor;
        • Date & Time of event
        • Location of event
        • Number of people expected to attend event
        • Information on what the event is about
        • PF 100 Application for Permission to Keep or Consume Intoxicating Liquor on Site' where required.
    • All the above details can be submitted on the 'PF100 Application for Permission to Keep or Consume Intoxicating Liquor on Site' form and no other action will be necessary.
    • Property & Facilities Division will send a 'Letter of Approval' outlining any conditions for the function.

How do I apply for permission to keep or consume alcohol on campus?

Written permission of the Vice-Chancellor (or delegate) is required before an individual may bring, keep or consume intoxicating liquor on any University site (except licensed premises).

How do I apply for permission to display banners on campus?

Banners

Request for approvals to hang or erect banners on University sites must be forwarded by email or facsimile to the Security Manager.

Digital and Website Banners

Banners are no longer erected at the entrance of the St Lucia University; there are two electronic screens that are managed by the marketing team in the Office of Marketing and Communications. There is one at the Sir Fred Schonell Drive and the other along Coldridge Street.
